Users can create and maintain the purchase orders in the system which supports non-inventory items and multiple warehouses. The Purchase Orders (PO) list contains the collection of all PO's used throughout the inventory management and production cycle. A PO must be in this collection to be available from the drop-down list. The fields in the PO form are:

Status | Open: PO still in process. PO line is not completely received. Completed: All PO lines status are completed |
Due Date | Target receiving date |
Purchase Order Line | |
PO Line | Purchase order line number |
Due Date | Target receiving date for the line |
Warehouse | Warehouse to receive the item (Must exist in Warehouses master) |
Item | Item that is ordered from the vendor (Must exist in Items master) |
Non Inv Item | Select this field for non-inventory item. User can type in the description field |
Description | Enter description for non-inventory item |
UOM | Order line item’s unit of measurement (Must exist in UOMs master and UOM Conversions master if is not item’s base uom) |
Notes | Remarks on the PO Line |
Status | Open: PO line still in process. Completed: PO line completely received |
Qty Ordered | The quantity item required. |
Qty Received | Quantity of the item received in this line. This field is updated by the PO receipt transaction in the mobile application |
Qty Returned | Quantity of the item that is returned to vendor. This field is updated by the PO return transaction in the mobile application |
Add New Purchase Order
Case: Adding a new Purchase Order record.
1. In the Purchase Orders List form, click the Add button.
2. Fill in all required fields.
3. Click the Add PO Line button to continue.
4. Fill in all required fields in the PO line.
5. Click the Save button to complete or click the Save & Add New Line button to add another PO line for the same PO.
Add New Purchase Order Line
Case: Adding new Purchase Order line on an existing Purchase Order.
1. In the Purchase Orders List form, click the PO Number (highlighted in blue) which is needed to add a new PO line.
2. In the View Purchase Order form, click on the Add PO Line button.
3. Fill in all required fields for PO line.
4. Click the Save button to save the PO line or click the Save & Add New Line button to add a PO line to an existing PO.
Edit Purchase Order
Case: Editing an existing Purchase Order.
1. In the Purchase Orders List form, click the PO Number (highlighted in blue) to make modifications.
2. In the View Purchase Order form, click on Edit PO.
3. In the Edit Purchase Order form, update the fields you wish to change.
4. Click the Save button to complete the editing.
Edit Purchase Order Line
Case: Editing an existing Purchase Order Line.
1. In the Purchase Orders List form or View Purchase Order form, click the Edit button of the PO Line to make modifications.
2. In the Edit Purchase Order Line form, update the fields you wish to change.
3. Click the Save button to complete the editing.
Delete Purchase Order
Case: Deleting a Purchase Order.
1. In the Purchase Orders List form, click the PO Number (highlighted in blue) to delete.
2. In the View Purchase Order form, click on the Delete PO button.
3. Click the Yes button to confirm the deletion otherwise, click the Cancel button.
Delete Purchase Order Line
Case: Deleting a Purchase Order Line.
1. In the Purchase Orders List form or View Purchase Order form, tick the checkbox for the line you wish to delete.
2. Click on the Delete button.
3. Click the Yes button to confirm the deletion otherwise, click the Cancel button.
Import Data From Excel Template
1. In the Purchase Orders List form, click the Import button and select the Excel file to import.

2. Click on Import button.
3. Ensure the success message is displayed at the top. Users can check the status and log file from the Background Task.
